Volunteering at WordCamp US

WordCamp simply wouldn’t exist without volunteers. They’re at the heart of every event, contributing their time, energy, and skills to help create something special.

We’d love for you to join the WordCamp US volunteer team! There are no special qualifications required, just a willingness to help. From organizers, speakers, session support, and Contributor Day collaborators, WordCamps around the world depend on dedicated community members like you.

Below, you’ll find more details about what it means to volunteer at WordCamp US and the roles available.

Who Can Apply?

WordCamp US (WCUS) welcomes volunteers who have technical and non-technical backgrounds. Whether you’re brand new to WordPress or a longtime contributor, there’s a place for you here.

A diverse group of volunteers brings fresh perspectives and helps create a safe, inclusive, and welcoming environment for everyone at a WordCamp.

There are many ways to contribute, such as greeting attendees at the registration desk, emceeing sessions, or welcoming newcomers at the community table, to supporting behind-the-scenes logistics. No matter your skill set, we have a role for you!

Volunteering comes with some great perks:

  • Community and camaraderie: Collaborating with other passionate volunteers creates a sense of camaraderie and fosters a welcoming and engaging environment.
  • Giving back: WordCamps are community-driven events. Volunteering offers individuals a way to give back, contribute to community growth, and support the open-source movement.
  • Networking opportunities: WordCamp is an ideal platform to meet like-minded individuals, professionals, and experts from the WordPress community. Volunteering can help build meaningful connections and expand your professional network.
  • Free WCUS ticket: Your ticket to WCUS will be completely covered by us! When you’re not scheduled to volunteer, you’ll have full access to WordCamp, including attending sessions, speaking to sponsors, and more.

To be part of the Volunteers team, we do ask you to:

  • Be kind, respectful, helpful, and work well with others
  • Maintain a positive attitude
  • Follow the Code of Conduct
  • Help us create a welcoming, fun, and friendly atmosphere!

What does the time commitment look like?

We ask for a minimum commitment of two half days or one full day of volunteering. This ensures you will have plenty of time to fully enjoy WordCamp US as an attendee. If you’re available to volunteer more of your time, we’d be grateful! When you apply to volunteer, you’ll share your availability with us which will be used to create the volunteer schedule.

Volunteer roles

There are lots of different ways to volunteer at WordCamp US! Curious about the available roles? Check out the list below!

Attendee Services

Information Desk & Lost/Found

You’ll be responsible for providing information to the attendees regarding the entire WCUS event. This could include information concerning the venue areas, the Tracks, and even the schedule of events. These are just a few of the questions you may be asked to answer. But don’t worry, you’re not expected to have all the answers; when you don’t know, having the initiative to ask the relevant team and/or organizer for guidance is expected. This role will also involve supporting the collation of lost & found items and safeguarding them until the owner comes for them.

Registration Desk

You’ll have the exciting opportunity to be among the first faces our attendees encounter, warmly greeting them as they arrive at the conference. Your main responsibilities will include offering essential information to visitors and ensuring smooth badge distribution/printing for attendees, volunteers, and speakers alike.

Swag Station

You’ll be responsible for distributing free swag to our visitors. This position may involve lifting boxes, unboxing and setting up swag, stuffing swag bags, restocking the table as needed, handing out items, and checking attendance records once finished.

Contributor Day Support Staff:

You’ll help check in attendees and help find their team’s table. Show new contributors the different ways to get involved with WordPress. Onboard contributors on WordPress.org and Slack setup. Answer contributor questions.

Room Staff

Emcee & Track lead

You will be announcing speakers and transitions between sessions. A script and speaker bios will be provided. Introduce yourself to the speaker, ask about special requests, and check their bio and name pronunciation. You will also act as the lead for your assigned room. You will ensure that all room volunteers are in their designated positions and performing their assigned tasks. Open room doors after sessions, greet attendees as they enter, close doors when the session starts, and help keep noise down around the room during the session.

Time keeper

Communicate with the speakers and emcee about time limits and the schedule. Coordinate with the Track Lead and ensure that talks start and end on time. Explain to the speaker how and when you will show ‘remaining time’ cards during their session.

Speaker assistant

Get to know the speakers, introduce yourself, and collect them 60 minutes before their talk. Show them the room they will be speaking in as well as the green room.

Other / Special volunteer roles

Runner

As a Runner, you’ll assist fellow volunteers by delivering anything they may need while stationed at their posts. This may include water, food, personal items from the volunteer room, extra chairs, or necessary equipment. You’ll be on your feet and moving throughout the venue for most of your shift, and some tasks may involve lifting boxes or heavier items. You’ll report to a Volunteers Team organizer and stay in touch via Slack, so please bring a mobile device. You may also respond to real-time requests from fellow volunteers in the Volunteers Slack channel.

Lunchtime support

This is a limited length shift (i.e., special shift). Your role will be to help attendees proceed to the lunch area in a controlled manner. You’ll need to know where the serving stations are located and assist visitors in locating where specific food types are being served (for example, Halal, Vegetarian alternatives, etc).

Greeters/Roamers

The Volunteers Team organizers will place roamers in stations to help direct foot traffic. Help attendees find their way around and answer questions. Support attendees with extra needs, including those with disabilities or requiring assistance in specific venue areas. Greet attendees and help create a fun and positive atmosphere. Fill in as needed as things come up during the event.
